Searching for Multiple Groups

Introduction (Please Read):
This document will provide you with the steps needed to retrieve a list containing multiple groups at once.

Steps:
Step 1: Click the All button from a Contact record

Step 2: Click on the List tab

Step 3: Select each of the groups that you would like to retrieve from the Groups list on the right side of the screen.

Step 5: You can then Email this list, Export this list, and perform other functions using the buttons available at the bottom of the screen.

Introduction (Please Read) This document will help you to delete a desired group. You can delete any group at any time in Realhound Live in 3 simple steps. The process only deletes the group and removes the group from the related properties or contacts. Steps: Step 1. Go to either Contact page or Property page and click on the Groups button. 13 (2) The following screen will be displayed. 14 (2) Step 2. Select the Group you would like to delete. Step 3. Click on the Delete Group button. 15 (2) Step 4. Click on the Yes button to confirm the deletion of the selected group.

How to Create Groups For Contacts and Properties

Introduction (Please Read) This document will show how easy it is to add multiple contacts to a group at once. The key to creating your group is to do a search first and then add the contacts. Please note that the same process can be used to add properties to a group by simply running the search for property records. Steps: Step 1: Conduct a search for the desired contacts. For example, if creating a group of all contacts without a phone number you would find a contact that is missing a phone number, right-click on the phone number field and select Filter by Selection. 7 (3) The Filter by Selection will narrow your contact list to only those clients with No Phone numbers. In this example we have 35 Filtered contacts with no phone numbers. 8 (2) Step 2: Next click the Groups button. 9 (3) Step 3: In the new screen, enter your new Group name (e.g. Missing Phone Numbers) in the New Group Name field. If you wanted to add the new contacts to an existing group, you would simply click once on the appropriate group from the list on the left. Step 4: Select the Add New Group to add the new group to the Group list. 10 (1) Step 5: The new group is now added to your Group list and you should select it Step 6: click on the Add Selected Contacts and the previously filtered contacts (35 of them) will be added to the new group. 11 (2) Step 7: Close the Groups screen. 12 (2) The new Missing Phone Number Group is added and displayed on the Contact screen. Note: You can repeat this procedure in order to add as many groups to each contact as you like.

Introduction (Please Read): This document will provide the quick steps needed to merge two contact groups. Steps: Step 1: Click on the Groups button from a contact or property record. Group (1) Step 2: Select the group that you would like to merge from the list of groups Group B Step 3: Type in the new name for the group. If you type in the name of an existing group, the two groups will merge. If you type in the name of a new group, it will simply rename the group. Group F Step 4: Click Rename/Merge Group. Merge Step 5: Click Yes to confirm that you would like to merge the two groups. Confirm The two groups will then be merged together for use.

How to Retrieve Contacts or Properties in a Group

Introduction (Please Read) This document will show you the quick steps needed to retrieve all contacts or properties in a group. Steps: Step 1: From a contact or property record, click the Groups button. Step 2: On the Groups screen that opens, look for the desired group of contacts in the Groups list and double-click on the desired group name. Notice that there are 4 contacts in the contacts column associated to this group. 20 (2) Step 3: If there are contacts associated to the group, you will automatically be taken back to a contact record associated to that group. To view any properties related to the group, click the Property button on the top toolbar. If only properties are associated to the group, you will automatically be taken to the associated properties on the Property side of the database. Only the contacts and properties associated to this group will be selected – see the number of records selected noted at the bottom. 21 (2) Step 4: You can then use these contacts as desired, such as including them in a call list, exporting them to Excel, sending them a group email, etc.
