Search for and Report on your Opportunities

Introduction (Please Read):
This document will provide you with the steps needed to search for your opportunities in your database and then get a report of the opportunities.

Steps:
Step 1: Go to the Today section and click on the Search Tasks & History tab.

Step 2: On the search tools on the left of the screen, do not select any of the items in the Task Types list.

Step 3: Select yourself from the Users/Assigned to Users list. If you would like to pull a list of opportunities for other team members, select the team member’s name from the list. If you would like to pull a list of all opportunities in the database that you have access to see, do not select anybody in the Users list.

Step 4: Set the appropriate time period. If you would like all opportunities, select All for the Period and then input a wide enough date range to capture the opportunities you would like to see.

Step 5: Select Opportunity from the Sales Type drop-down

Step 6: Click the Search button. The list that appears will show the Opportunities in your database based on the criteria specified using the Search tools on the left side of the screen.

Step 7: To get a Report of the Opportunities, click the Report button at the bottom right of the screen.

Step 8: Select the History option from the list of Reports and click Preview.

Step 9: When the report appears, you can review the report and do any of a number of options, including print to PDF, convert it to Word or Excel, or email it, as desired.

How to Close an Opportunity

Introduction (Please Read): This document will provide you with the steps necessary to close an opportunity, noting it as either Closed-Won upon the sale of a property, or Closed-Lost upon the loss of the business. Steps: 1. Search for the particular opportunity by going to the Search Tasks & History tab in the Today section and inputting the desired information to locate the opportunity (e.g. selecting Opportunity as the Sales Type and then clicking Search). Opp Search 2. Identify the appropriate opportunity in the list and double-click on the grey box to the left of the opportunity. Select Opp 3. Once on the contact record, go to the contact’s History tab and select the opportunity from the list. History Opp 4. Update the appropriate information in the Opportunity section. If the opportunity is Closed-Won, be sure to place the “Probability %” as 100. If the opportunity is Closed-Lost, place the “Probability %” as 0. Opp Amount Important items to note are that the Amount is used to track Commission Fees, either Net or Gross, and Expected is the actual date of sale once the opportunity is closed. All changes will be saved automatically.

How to Create an Opportunity

Introduction (Please Read): This document will provide you with the steps needed to create a new opportunity within your database. Steps: Step 1: On the contact record for the property owner who provided you with the Opportunity, click the Note button. Note button Step 2: On the Note screen that appears, select Opportunity from the Sales Type drop-down list. Opportunity Top Step 3: In the Opportunity section at the top right, input the appropriate Amount, Expected Date, and Probability % of closing the deal. Step 4: Relate the note to the appropriate Property record. Begin by clicking the Lookup button to the right of the Property field. Prop lookup Step 5: On the Locate Property screen, Search for the property, click on the appropriate property record from the search results list and click Select. Select Prop Step 6: Add any appropriate comments or notes about the phone call or the opportunity. When complete click the Save button. Save Congratulations! You have entered your opportunity into your database.
