How to Relate Contacts to a Property

Introduction (Please Read):

This document will walk you through the steps needed to relate contacts to a property with any manner of relationship.

Steps:
Step 1: From the desired property, select the Related option in the middle and click the lookup button next to the first available space.

Step 2: On the search screen, search for and double-click on the desired contact

Step 3: Back on the property record, the contact will display in the Related Contact space. You can then type into the Relationship field to specify the desired relationship.

How to Delete Multiple Properties

Introduction (Please Read): The purpose of this document is to describe the procedure for deleting multiple properties based on specified criteria (e.g. the state the property is in). NOTE: It is strongly recommended that you backup your database before making significant changes to the database. Steps: Step 1: In order to delete multiple properties, search for the desired properties that you would like to delete (e.g. retrieve your Delete Properties group). Please note that you can also click the All button and run a quick search from within Data Doctor, as well. Step 2: Select the “I understand” radio button, type in YES and click the Next button if you wish to continue. The following screen will be displayed. Untitled-1 Step 3: Click on the Global Delete and Merge Duplicates tab. The following screen will be displayed. Untitled-1 (1) Step 4: Select the Delete Properties and the Search option. Search based on a desired criteria. Step 5: The screen will now contain only the properties based on the chosen criteria. Click the Check All button to select all properties, or manually select each checkbox next to the individual properties, and then click the Delete Checked button. The following conformation dialog box will be displayed. Untitled-1 (2) Step 6: Click the Yes button to confirm the deletion and the following screen will be displayed where you will be able to monitor the progress. How to Change All 0/1 Unit Types to Studio

Introduction (Please Read) This document will help you perform a global replace by using the Data Doctor. This is a useful feature if you want to replace one description that shows up in the database for multiple properties. It can be used for many different fields in the database. Example: If you want to change all your Unit Type 0/1 to read Studio instead. Step 1. Choose the “Data Doctor” option from the “Administration” menu. After confirming your choice in the standard confirmation dialog, the “Data Doctor” screen will be displayed where you should click on the “Global replace” tab. 22 Step 2. Select Unit Type from the Table section Step 3. Select Description in the Fields section Step 4. Click on the Show Contents button. The Actual Data part of the screen will be populated. 23 Step 5. Find the field for which you want to replace the description, enter the new description within the Replace With field and click on the Replace Checked button. The following confirmation dialog will be displayed. Step 6. Click on the “Yes” button to confirm the change and conclude the procedure.

Introduction (Please Read): This document will help you import a photo for the desired property. Steps: Step 1: In order to import a photo for the desired property, open the overview screen of that property and click on this icon. 11 (3) The following screen will be displayed. 12 (3) Step 2: Click on the browse icon to open the screen for locating the desired photo of the property. The following screen will be displayed. 13 (3) Step 3 select the folder on your PC where the photo is located (note: use the My Drive option to select a different drive) Step 4 use the options in this part of the screen to navigate through the folders Step 5 once you locate the desired photo by navigating through folders, double click on it or select it and click on the “Select” button Step 6 The following screen will be displayed. 14 (4) Step 7: Use the “open” icon to add another file or select “Select All JPG Photos in Folder” to select all photos within that folder and click on the “Import” button to complete the procedure of importing a property photo.

Introduction (Please Read) This document will help you geocode your properties by longitude and latitude. Steps: Step 1. First make sure you have selected ALL on your properties. Go to File/Administration/Data Doctor. Step 2.Select the Post Op (After Import) tab inside the Data Doctor. Under this tab you will see a check box for ‘Geocode Properties’. Check this box and hit the Start button at the bottom. 2 Note: The geocoding of properties will ONLY complete if you have the correct address listed. You can help this by checking the boxes for ;Update city, state, and country; as well as ‘Update addresses/zip codes’. The geocoding of properties will take between 1/2 and 1 second per property. Note this when geocoding because the time can add up when geocoding hundreds or thousands of properties.

Introduction (Please Read) The purpose of this document is to show you how to create customized property fields and change customizable sales and lease field names. You can easily create numerous custom property fields and change the user field names within the program. You must have administrative rights to your database to perform these steps. This document has two parts: Part 1 – Creating a Customized Property Field Part 2 – Changing Sales and Lease Record Field Names Part 1 – Creating a Customized Property Field Step 1: Under the file menu, move your mouse pointer to administration and select settings. Step 2: Select Custom Property Fields to add custom fields to Property Section> Overview tab. Untitled-1 (72) Step 3: Enter in the order in which you want the field to appear on your list, select the next available user text field from the drop down list and enter the name of your new field as it should appear in the program. Untitled-1 (73) Step 4: Close the window and go to the Property Overview tab to see your newly created field. Untitled-1 (74) Part 2 – Changing Sales & Lease Record Field Names Step 1: Under the File menu, move your mouse pointer to Administration and select Settings. Step 2: Select the Custom fields tab Untitled-1 (75) Step 3: Change the field names to what you would like displayed in the program (Please note that you can change the custom field name for Contact records from this screen as well).
