How to Run a Rap Sheet Report

Introduction (Please Read): This document will provide you with the steps necessary to retrieve a Rap Sheet report of desired recent history. Steps: 1. In the Today section, go to the Search Tasks & History tab. Today 2. Using the criteria on the left side, specify the type of history that you would like to view, specifically for the individual, type of history to be included (e.g. Calls and emails), and date range, and then click the Search button. Search (2) 3. Once you have verified that you retrieved the desired history, click the Report button at the bottom right of the screen. Report (1) 4. On the list of reports, choose Rap Sheet and then click the Preview button. When the report appears you can print the report or export it using any of the available export tools. Rap Sheet

How to Install Realhound Print Driver to Export Reports

Introduction (Please Read): Realhound has a print driver that is required to export, publish, and save reports out of the program. This is typically installed automatically during the installation process, however occassionally this portion of the installation is blocked by an anti-virus or firewall program. This document will walk you through the steps to installing the Realhound Print Driver if instructed by the program. Steps: 1. Go to the Realhound IP Client Program File – this can be found at C:\Program Files\Realhound IP Client 2. Double-click on the Install.exe file and confirm any and all aspects of the installation. 3. Once the installation is complete you will be able to successfully export, publish and save reports out of the program.

How to Create a Custom Excel Export Template

Introduction (Please Read): This document will provide you with the steps needed to create a custom Excel Export Template from within the program. Steps: 1. On the List tab of either the Contact or Property section of the database, click the Export to Excel button. 2. On the screen that appears, click the New button on the bottom left corner of the screen. Name your new template and click the Ok button. 3. On the Template screen that opens, in Step 1, choose the primary type of data that you will be exporting. 4. In Step 2, select each of the fields that you would like to include in your export from the list on the left, and then use the arrows to move each field over to the list of fields to export on the right. You can use the Filter field in Step 2 to quickly identify the desired fields. 5. In Step 3, choose how you would like to format multiple records. For example, if you are pulling property information and a property has several leases associated with it, you can choose to “Only Show the First”, Put each on a new line in Excel, Separate each of the leases with a comma, or create a separate column for each lease. 6. In Step 4, choose from the various formatting and sorting options. 7. In Step 5, determine what you would like to name the export template file name. 8. Once complete, click the Save Template button. You will then be able to run the export template from the list and click the Export button when desired.

How to Create a Call Report

Introduction (Please Read): This document will provide you with the steps needed to pull back a report of all calls made in the system. Steps: 1. Go to the Search Tasks & History tab in the Today section. Tasks and History (1) 2. Click “Calls” in the Task Type section 3. If you would like to only find your calls or the calls made by another user in the database, select the appropriate individual from the Users/Assigned to Users list. 4. Be sure that the Include Completed Tasks checkbox is selected. 5. Put in the appropriate date range for when the calls were made (e.g. prior to today’s date) 6. Click Search 7. The list that appears will contain the calls meeting the specified criteria. Click the Report button to get a report. 8. On the Reports list, select the History option. The report that appears will contain a list of the histories included in your search results.
